Executive Assistant

Summary:
This role is responsible for maintaining the office of assigned Executive and providing all necessary administrative support for the Executive team and assorted other leaders as requested.
Job Details:
Major Job Responsibilities/Duties:
+ Maintain calendar for assigned Executive, and others as necessary
+ Research travel options, book, adjust and maintain multiple travel schedules
+ Process expenses, ensuring timely payment and submission of required documentation
+ Schedule and facilitate team meetings, presentations; maintain records, follow up on initiatives
+ Collect and distribute weekly/monthly reports as requested
+ Assist business division managers with their teams as necessary
+ Provide on-site support for guests and visitors- making arrangements for food service, conference room set-up, local travel, etc.
+ Act as back-up for other local Executive Assistant staff as needed
+ Manage departmental systems as needed
Qualifications/ Education Requirements:
+ Must have an Associate or Bachelor's degree
+ Minimum 5 years? work experience with C-Level Executives
+ Working knowledge of corporate travel booking systems, such as Concur
+ Ability to work effectively with cross-function teams, multi-tasking, and a fast paced, team-oriented environment.
+ Excellent organizational and problem solving skills are essential.
+ Must be proficient in MS Office Suite to include, MS Word, Excel, PowerPoint, and other software programs.
+ Strong verbal and written communication skills; good interpersonal skills and strong attention to detail. Must be extremely organized, detail-oriented and able to handle multiple tasks simultaneously.
+ Past experience in a fast paced environment
+ Past experience handling confidential information
+ Must be available for extended hours if needed to support deadlines

+ Ability to interact with all employee levels, including managers, directors and C-Level executives
+ Ability to function effectively as a team member and the ability to communicate and handle sensitive information

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
